Office Administrator (Denver)

Reports To: VP, Senior Trust Officer

Job Classification: Non-Exempt

Hourly Rate: $25-$30/Hour 

This is a part-time role based out of MTC’s Denver office. To best serve our clients, the qualified candidate must be in-office Monday-Friday, 9:00am-2:30pm.

Job Summary

The Office Administrator provides administrative and operational support to the Denver office and its team members. 

Primary Duties and Responsibilities

  • Provides comprehensive administrative support to the Denver Team.

  • Serves as point of contact for clients and prospective clients.

  • Responds to account inquiries from clients and prospective clients.

  • Acts as receptionist and directs calls to appropriate staff. 

  • Collects, scans and distributes mail.

  • Processes bill pay and requested distributions for clients and beneficiaries.

  • Scans various account documents to Laserfiche.

  • Orders general office supplies, brochures, letterhead, envelopes, etc.

  •  Maintains contact list for centers of influence, clients, and vendors.

  •  Greets and assists visitors to the Denver office.

  •  Completes special projects and other related duties in keeping with the trust company’s fiduciary responsibilities.  

  • Performs out of office tasks including, but not limited to, delivering mail and packages   to post office, picking up office supplies etc. using personal vehicle. 

  • Assists with completing account opening and closing paperwork.

  • Maintains Denver future fee folder.

  • Serves as dual control agent with Trust Officer.

Required Skills/Abilities

  • Bilingual, fluent in both English and Spanish, preferred. 

  • Excellent verbal and written communication skills including the ability to effectively interact with all levels within the organization.

  • Excellent interpersonal and customer service skills.

  • Proficiency in technology, including the ability to effectively use a variety of software programs and operating systems. 

  • Strong analytical skills with an attention to detail.

  • Proven ability to take initiative, find and provide solutions. 

  • Ability to multi-task and meet deadlines. 

  • Ability to work independently.

Education and Experience

  • High School Diploma required. 

  • Minimum three years of customer service experience required. 

  • Minimum three years of professional office experience required.

Physical Requirements

  • Regular in-office attendance. 

  • Ability to navigate various areas of an organization’s physical premises.

  • Ability to remain in a stationary position for prolonged periods. 

  • Ability to effectively operate a computer and other office equipment. 

  • Ability to move boxes, inventory, and materials weighing up to 15 pounds at one time.

  • Occasional travel required for meetings, conferences, etc. as requested.
